1. Overview

YVR Yoga Collective Ltd., operating as The Yoga Collective (“we,” “us,” or “our”), operates a yoga studio located at 1286 Cartwright St, Vancouver, BC V6H 3R8, and the website at theyogacollective.ca (the “Site”). This Privacy Policy explains what personal information we collect, why we collect it, how we use and protect it, and the choices you have. It applies to visitors to our Site, students who book classes or memberships with us, newsletter subscribers, and anyone who otherwise shares personal information with us.

We are committed to handling your personal information responsibly and in accordance with Canada’s Personal Information Protection and Electronic Documents Act (PIPEDA) and British Columbia’s Personal Information Protection Act (PIPA).

3. Information We Collect

We collect personal information in the following ways:

Account registration and booking. When you create an account, book a class, buy a class card, or sign up for a membership through our booking platform (OfferingTree), we collect information such as your name, email address, phone number, and payment information, along with your class and membership history.

Liability waiver. Everyone who books a class or creates an account with us is required to accept a liability waiver. This includes your name, signature (electronic or paper), and the date of acceptance. For members and drop-in students under the age of 19 (the age of majority in BC), a parent or guardian must create the account and accept the waiver on the minor’s behalf online, or sign a paper waiver in person at check-in.

Payment information. Payments are processed through OfferingTree and its payment processor. We do not directly collect or store your full credit card number on our own systems — payment card details are handled by our payment processor in accordance with its own security standards and privacy practices.

Newsletter and marketing communications. If you subscribe to our newsletter or opt in to marketing emails (sent via OfferingTree’s email tools), we collect your name and email address, and we track basic engagement information such as opens and clicks so we can improve our communications.

Indigenous Folks Free Class Card program. If you apply for our Indigenous Folks Free 10-Class Card through our Google Form, we collect the information you choose to share for self-identification purposes, along with any additional information you provide with your consent to help us demonstrate community need for grants and sponsorships. We do not require proof of eligibility — this program relies on self-identification.

Communications with us. If you email, call, or otherwise contact us directly, we collect the information you share in that communication, including any contact details and the content of your message.

Website usage information. Our Site is built on WordPress and our store is hosted on OfferingTree’s platform. OfferingTree may collect standard technical information (such as IP address, browser type, and pages visited) needed to operate the booking and account system and to keep the Site secure. As of the date of this policy, we do not run our own additional analytics or advertising tracking tools (such as Google Analytics or the Meta/Facebook Pixel) on the Site. If that changes, we will update this policy to describe what is collected and how you can opt out.

Cookies. Our Site may use cookies that are necessary for account login, booking, and checkout to function, as provided by OfferingTree. We do not currently use cookies for advertising or cross-site tracking.

4. How We Use Your Information

We use the personal information we collect to:

  • Create and manage your account, class bookings, class cards, and memberships;
  • Process payments and manage billing, including recurring membership charges, cancellations, freezes, and refunds;
  • Communicate with you about your bookings, account, or membership (e.g., confirmations, receipts, and policy notices such as our cancellation and late-arrival policies);
  • Send newsletters and marketing communications, where you have opted in, and allow you to unsubscribe at any time;
  • Administer our Indigenous Folks Free Class Card program and, where you have consented, use aggregated or de-identified information from that program to support grant and sponsorship applications;
  • Maintain the safety and smooth operation of our studio (for example, honoring adjustment-consent preferences noted for a class);
  • Meet our legal, regulatory, and liability obligations, including maintaining waiver records; and
  • Improve our Site, programs, and communications.

5. How We Share Your Information

We do not sell your personal information. We share personal information only in the following circumstances:

  • Service providers. We use OfferingTree to manage bookings, memberships, waivers, payments, and email communications. OfferingTree processes personal information on our behalf and maintains its own security and privacy practices.
  • Payment processing. Payment details are handled by OfferingTree’s payment processor to complete your transactions.
  • Legal requirements. We may disclose information if required to do so by law, or to protect the rights, property, or safety of The Yoga Collective, our students, teachers, or others.
  • Business changes. If The Yoga Collective is ever involved in a change of ownership or structure, personal information may be transferred as part of that transaction, subject to this policy or a successor policy.

We do not share your information with third parties for their own independent marketing purposes without your consent.

6. Data Retention

We retain personal information for as long as needed to provide our services, maintain accurate booking and waiver records, meet legal and insurance obligations, and support the purposes described in this policy. Waiver records, in particular, are retained for the period recommended for liability purposes. When information is no longer needed, we take reasonable steps to delete or de-identify it.

7. How We Protect Your Information

We rely on OfferingTree’s platform security and our own reasonable administrative practices to protect the personal information we hold against unauthorized access, use, or disclosure. No method of storage or transmission is completely secure, but we work to use industry-standard safeguards appropriate to the sensitivity of the information involved.

8. Your Rights and Choices

Subject to applicable law, you may:

  • Access the personal information we hold about you;
  • Ask us to correct inaccurate or incomplete information;
  • Withdraw consent to marketing communications at any time (for example, by using the unsubscribe link in our emails or contacting us directly);
  • Ask us to delete your personal information, subject to our legal, contractual, and record-keeping obligations (for example, we may need to retain waiver or transaction records for a period even after an account is closed); and
  • Ask questions about how your information is collected, used, or shared.

9. Minors’ Information

Our classes are open to students aged 16 and up attending independently, and to younger participants accompanied by an adult. For anyone under 19 (the age of majority in BC), a parent or guardian must create the account and accept our waiver online on the minor’s behalf, or sign a paper waiver in person. We collect only the information needed to administer bookings and waivers for minor participants and handle it with the same care described throughout this policy.

10. Changes to This Policy

We may update this Privacy Policy from time to time, for example as our tools or programs change. We will post the updated version on our Site with a new “Last updated” date. Your continued use of our Site or services after an update constitutes acceptance of the revised policy.
